Contact Tags In Depth

In this section we will show an example of working with contacts and tags. For this example we will show how Contacts, Permissions and Permission Groups have to be set in order to assign a Contact Tag to a group of users.

In our example we have two Contacts Tags: Sales and Support and four contacts.


Create Tags

  • The first step is to create your tags.
  • This is done in the Contacts Menu > Tags Tab.
  • For our example we created two Tags: Sales and Support.


Assign Tags to Contacts

  • If you already have contacts you can edit them add assign the desired tag to each one.  In the following image we show how to assign a tag to a contact.

               

  • In our example we already have four contacts and we will assign the 'Sales' tag to three of them and the 'Support' tag to the remaining contact.




Create the Permissions for the Tags

  • Navigate to the Permission menu and Add permissions to read and write for the Sales contacts tag as shown below:

               

               


  • You can also add the read and write permissions to the other tags.
  • The following screenshot shows the status of all the permissions related to contacts.

               

  • It is always a good idea to review this link  about permissions.


Assign the Permissions to a Permission Group

  • In our case we will create a permission group with the name Sales Contact Tag as follows and we will make sure that the permissions created in the previous step are selected for the group.

               

  • You can add the rest of permissions to the group according to your needs.
  • In the same way we will assign one user to this group to only see the contacts with the Sales tag.
  • Just as double-check step, we go to the Users menu, select the user and make sure it has the right permissions:

               


  • We can also remove the contacts permissions from the default group, so the others users won't see the Sales Tag.

               


Checking the Contact Tag in Call Panel

  • Now we log in Call Panel and very that only the contacts with the Sales tag are shown for the user 1001.
