ComXchange Voicemail is a voice messaging and call-handling system created specifically for lodging properties. All guest rooms and selected staff members have voicemail activated on their phones. This user guide focuses on helping you to use voicemail quickly.
Voicemail allows outside callers to leave recorded voice messages for the voicemail user. If an extension is busy, or there is no answer after a given number of rings, voicemail answers and gives you the option to record a message, transfer to another extension, or speak with the switchboard operator. Voicemail also allows you to review, save, delete, and redirect voice messages received.
Voice mailboxes for staff members are given the same number as their extension. New message recordings are stored in each individual mailbox until they are listened to and either saved or deleted. When there is a new message the Message Waiting Indicator (MWI) light on the phone will be lit. When messages have been saved deleted or redirected the light will turn off.
ComXchange Voicemail is a voice-prompted, menu driven system. Through voice prompts the system conveys information, including your options to proceed at any given time. Listening to the system prompts will guide you through most operations. To start over you can hang up and log in again.
Accessing the Voicemail Mailbox
There are three ways to access the voicemail mailbox associated with an extension.
- Press the Messages Button (envelope key) on the phone associated with the extension
- This will log you directly into the mailbox
- You may need to enter the password for some phones
- Dial *55 from the phone associated with the mailbox’s extension
- This will log you directly into the mailbox
- You may need to enter the password for some phones
- Dial *98 from any phone registered to the ComXchange Phone System
- Enter your mailbox (extension) number
- Enter the password provided for the mailbox
Main Voicemail Menu
Upon Successful login to the mailbox the user will be asked to choose from the following menu options:
Initial Voicemail Mailbox Setup
At first log in to the extensions mailbox there are some initial setup steps that should be taken to setup the mailbox greetings, name, and a new mailbox passcode.
- Log into your mailbox and in the Voicemail Main Menu Press “0” to enter the Mailbox Options
- Once in the Mailbox Options Menu you will be given the options to choose from the following:
Unavailable Greeting
The Unavailable Greeting will play if you do not answer your phone or if the phone is not connected to the phone system. There is a default Unavailable Greeting message that will be played by the system until a personalized one is recorded.
- Press “1” in the Mailbox Options Menu to record your Unavailable Greeting

2. When finished recording press “#”
3. Choose from the following options:
Busy Greeting
The Busy Greeting will play if your phone is in use. There is a default Busy Greeting message that will be played by the system to let callers know you are on the phone until a personalized one is recorded.
1. Press “2” in the Mailbox Options Menu to record your Busy Greeting
2. When finished recording press “#”
3. Choose from the following options:
Name Announcement
The Name Announcement is played when callers use the dial by name directory. By default, ComXchange will spell out the name associated with the extension until a personalized name is recorded.
1. Press “3” in the Mailbox Options Menu to record your Busy Greeting
2. When finished recording press “#”
3. Choose from the following options:
Change the Mailbox Password
1. Press “5” in the Mailbox Options Menu to change your Voicemail Mailbox Password
2. Enter the password followed by the “#” key
3. Re-Enter the password followed by the “#” key
Temporary Greeting
If you are going to be out of the office and would like to announce this to people that are leaving voicemails you can set up a Temporary Greeting.
1. Press “4” in the Mailbox Options Menu to Set a Temporary Greeting
2. When finished recording press “#”
3. Choose from the following options:
a. To remove the temporary greeting enter “4” in the Mailbox Options Menu and press “2” to erase the Temporary Greeting
Reviewing Voicemail Messages
1. Log into your mailbox and in the Voicemail Main Menu Press “1” to Listen to Current Voicemails
